Project management helps when the work is larger than a single repair, several contractors need coordination or the owner cannot manage daily decisions on site. It gives a refurbishment or upgrade a clear point of coordination.

Important decisions

Agree who can approve design, cost and programme changes, and how quickly decisions need to be made. Project coordination does not automatically appoint a designer, contract administrator or statutory dutyholder. Those roles need explicit scope and suitable appointments. Assessment and the project brief

Bring the intended layout or outcome, property information, landlord requirements and target date. Identify the person making decisions and separate essential work from optional improvements before prices and dates are fixed.

How the project proceeds

  1. Establish the brief and information gaps.
  2. Confirm the design, procurement and delivery plan.
  3. Coordinate progress against the agreed programme and budget.
  4. Resolve changes through recorded decisions.
  5. Organise inspections, handover and outstanding actions.

Working in occupied properties

Agree access with the owner and occupiers, including deliveries, dust, noise and temporary loss of facilities. A short daily work window needs a realistic programme and clear communication about room availability.

Budget and programme factors

Management scope depends on project duration, complexity, reporting needs, procurement and the number of interfaces. Keep the management allowance separate from construction costs and specialist fees. A changed brief needs its cost and programme effect explained before the change is authorised.

Completion and handover

The owner receives the agreed project records and a clear account of completed work, remaining items and next steps. Acceptance should include the condition of the finished areas and information needed to use and maintain the changes.

Frequently asked questions

Is project management needed for a small project?

Complexity matters as well as size. A small job with several trades, occupied areas or critical deadlines can need more coordination than a larger straightforward installation.

Does project management include design?

Only where design is included in the appointment and allocated to suitable people. The brief should distinguish managing design information from taking responsibility for the design itself.

How are unexpected changes handled?

Record the reason, options and effect on cost, time and the finished outcome. The authorised decision then becomes part of the current project plan.

What should a progress report tell me?

It should explain completed work, the next activities, forecast completion, cost position and decisions needed. It should make consequences clear rather than only listing site activity.
