Black & White Property Services applies controls proportionate to the work so that accepted services are properly scoped, safely planned, competently delivered and appropriately checked.

Planning

Before work begins, the business reviews available site information, hazards, customer requirements, access, competence, statutory duties, materials, equipment, programme and delivery method. Material assumptions and exclusions are recorded in the quotation or work information.

Delivery controls

Controls may include risk assessments, method statements, permits, COSHH information, competence checks, equipment checks, supervision, site coordination, progress records and agreed variation control. Work is stopped where conditions are unsafe or materially different from those planned.

Specialist work

Electrical, gas, refrigerant, asbestos, fire, lifting, pressure, water-hygiene and other regulated work is assigned only to delivery parties with the required authority and competence. Generic service descriptions do not replace verification for a particular job.

Quality

Work is checked according to risk and the agreed outcome. Material defects are recorded and investigated, and appropriate remedial action is completed and verified. Customer acceptance or completion evidence is obtained where appropriate.

Suppliers

Suppliers are assessed according to risk for identity, insurance, competence, safety, quality and information requirements. Outsourcing does not remove responsibility for managing the service agreed with the customer.

Incidents and complaints

Incidents, complaints and material failures are recorded, assessed and investigated proportionately. Corrective actions are assigned and checked for completion.

Work lifecycle

Each enquiry is screened for customer type, scope, urgency, property, occupancy, hazards, access, competence, regulatory restrictions and specialist support. Quotations identify the intended outcome, price basis, assumptions, exclusions and customer responsibilities. No marketing description by itself commits the business to a trade, location, response time or regulated activity.

Before attendance, available property and hazard information is reviewed. On site, conditions are checked and the planned method revised if necessary. The customer is told when diagnosis, opening-up, isolation, temporary work, further parts, specialist attendance or a variation is required. Work that cannot be carried out safely or lawfully is not started or is made safe and suspended.

Occupied properties and evidence

Reasonable steps protect occupants, visitors, belongings, finishes and access routes. Noise, dust, isolation and loss of facilities are communicated where practicable. Vulnerability, disability, children, pets, lone working and safeguarding are considered. Records may include job notes, materials, controls, photographs, certification, defects, waste information and customer decisions. Completion distinguishes finished work from recommendations, excluded defects, temporary measures and items awaiting another party.

Monitoring and learning

Repeat attendance, defects, complaints, incidents, supplier issues, missed appointments and corrective actions are reviewed according to scale and risk. Trends inform training, purchasing, methods and supplier status. Public performance claims require a defined, retained evidence set.
