Shutdown and Out-of-Hours Maintenance

Shutdown maintenance uses an agreed period of reduced or stopped operation to complete work safely and coordinate affected systems. Out-of-hours maintenance takes place outside the site's usual operating times; it may or may not require a shutdown.

A quiet building does not automatically make maintenance straightforward. Access, isolations, alarms, supervision and the effect on remaining occupants still need planning. We establish what must be unavailable and when it needs to return to service.

The work window must include preparation, the task itself, testing and handback. A programme that ends when the last fitting is installed can leave no time to prove the system works before the building reopens.

At an individual property, practical arrangements often determine whether the work can proceed: who opens the building, which occupants remain, what noise is acceptable and who receives the property afterwards. We settle these alongside the repair scope.

Equipment must be made safe for the task, including suitable isolation where required. HSE explains safe planning and prevention of unintended restart in its maintenance guidance. Isolation and reinstatement are carried out through the appropriate authorised process.

Priorities and response arrangements

We agree milestones, escalation contacts and the point at which an unexpected finding requires a decision about continuing, making safe or revising handback. Booking an out-of-hours task does not create an ongoing emergency response commitment.

Asset and work records

Keep the scope, programme, asset references and task results together. Record variations, checks completed, outstanding items and the operating condition at handback. Specialist permits and isolation records follow the site's applicable controls.

What affects scope and cost

Working hours, trade numbers, supervision, access, shutdown duration, temporary services and commissioning affect cost. Materials and dependencies should be confirmed before the work window; late changes can affect both price and the ability to reopen as planned.

Completion and follow-up

Handback states what is complete, the checks performed and any restrictions or follow-up actions. The receiving contact confirms the transfer through the agreed process. An incomplete test or unresolved defect remains visible rather than being treated as a successful restart.
