1. Record defects affecting tanks, covers, insulation, pipework, heaters or outlets.
2. Connect each finding to a specific location and practical next step.
3. Define cleaning and disinfection boundaries, including any downstream system work.
4. Plan supply interruptions, affected users and return-to-use checks before maintenance.
5. Keep repairs and verification evidence against the original finding.

Give every missed task, abnormal result or unresolved defect an owner and next action. A monthly summary should show repeated problems and what changed in response. At handover, pass on the assessment, schematic, task schedule, recent results and open actions together.
