Planning an Energy Improvement Project

Collect energy records, operating hours and information about the systems involved. Separate price changes from consumption changes. Where possible, compare periods with suitable context for weather, occupancy and production.

Identify what the owner controls. A landlord's building improvement may depend on tenant access or operating behaviour, while a site project may rely on a network connection or a planned shutdown. Record those dependencies before treating the programme as fixed.

Compare complete options

An option appraisal should explain the problem addressed, the proposed change and the equipment retained. Include associated works such as electrical upgrades, roof repairs, emitters, controls or access improvements where relevant.

Compare estimated benefits using the same assumptions. A product's rated efficiency is not a guaranteed site result. For solar or storage, generation, self-consumption and export are different considerations. For heating, the building demand and distribution arrangement matter alongside the heat source.

Build the cost and programme

Ask the proposal to identify survey and design, equipment, installation, temporary arrangements, commissioning and handover. Include recurring licences, consumables and maintenance where they apply. If funding is part of the business case, confirm current eligibility and conditions before treating it as available.

The work sequence should show when services are interrupted and how the building will operate. Allow time to resolve findings rather than assume installation and return to normal use happen at the same moment.

Decide how the result will be assessed

Agree the measurements and reporting period before work. Record changed settings, equipment and operating assumptions at handover. The owner needs the information required to maintain the improvement and understand later changes in performance.

Where carbon reporting is included, retain the boundary, activity data and calculation sources. Government conversion factors support calculations for the relevant reporting activities and periods; they do not replace accurate source data.

Compare the same completed scope and operating assumptions. A lower price may omit associated work, commissioning or ongoing support that another proposal includes.

Can projected savings be treated as guaranteed?

No. Estimates depend on assumptions and operating conditions. The proposal should explain those assumptions and how actual results will be reviewed.

Can a project be delivered in stages?

Yes. Each stage needs a workable operating arrangement, with later interfaces and dependencies recorded. Phasing should not leave essential commissioning or maintenance access unresolved.
