What Is a Maintenance Backlog?

A backlog can contain a mixture of repairs, investigation, missed planned tasks and replacement recommendations. Those items need different next steps. A contractor cannot price “investigate intermittent leakage” on the same basis as a fully specified repair.

Tell us what needs doing

Start by checking the records. Link duplicate reports, confirm the asset or location and establish whether work recorded as open has actually been completed. Retain evidence of corrections so cleaning the list does not erase unresolved work.

Record what will move each item forward

Each entry needs:

  1. A property, asset or location reference.
  2. A clear description and the source of the requirement.
  3. Operational impact and relevant technical findings.
  4. Priority and required action date.
  5. Current status, owner and next action.
  6. Estimate or quotation status where expenditure is involved.

“Awaiting approval” is incomplete without saying whose approval and for what. “Parts ordered” needs a delivery position and a plan for the next attendance. The list should make the blockage understandable to the person able to resolve it.

Prioritise by consequence

Age is useful information, but the oldest job is not automatically the most important. Consider safety, applicable deadlines, loss of essential functions, continuing damage and the people affected. Use competent technical advice for findings requiring specialist judgement.

A minor finishing defect can wait longer than a new problem affecting a critical service. Equally, a temporary measure should remain visible until the permanent action is completed. Moving a task to a future budget does not remove its consequences.

For work equipment, HSE's maintenance guidance explains the need to maintain equipment and respond to damaged or faulty items. A backlog register supports action; it does not make continued use of defective equipment acceptable.

Make a deliverable work programme

Group compatible tasks by location, trade and access window, then check materials and approvals before booking. Some items need a survey or diagnosis before they can become repair instructions. Others belong in a replacement project with a specification and programme.

Keep current maintenance moving while reducing the backlog. Clearing historic jobs at the expense of all routine upkeep simply creates a new queue. Review whether repeated faults point to a cause that individual repairs have not addressed.

Measure progress honestly

Track work completed alongside new work added, overdue significant items and time spent blocked. Job counts alone can mislead: closing many small tasks does not necessarily reduce the most important outstanding exposure.

Use agreed completion evidence and preserve linked follow-on work. A visit, quotation or temporary repair can be a completed stage while the original requirement remains unresolved.

Common questions

Is a backlog the same as overdue maintenance?

No. Backlog includes identified work still to be completed. Overdue work has passed its required date; that distinction should be visible in the register.

Should we clear the oldest jobs first?

Use consequence, deadlines and technical priority as well as age. Check whether older entries need investigation, a new instruction or confirmation of completed work.

Can a backlog be reduced by deleting duplicates?

Yes, when duplicate reports genuinely refer to the same issue. Link their useful history to the retained job and make sure no separate asset or later recurrence is lost.
