Record the normal duty: space heating, hot water or another use. Include operating hours and whether the plant runs throughout the year. This information helps establish what the manufacturer requires and whether the maintenance arrangement reflects actual use.
HSE's guidance for employers explains the need to maintain gas equipment safely and use the appropriate competence. For premises covered by the Gas Safety Regulations, gas work requires a Gas Safe registered engineer qualified for the relevant work. HSE identifies a separate competent-person requirement for certain industrial premises.
Review the interval when conditions change
Long operating hours, repeated faults, contamination or deterioration can justify reviewing the service plan. A change of building use or increased hot-water demand may also change the duty placed on the boiler.
For example, a boiler previously used mainly during office hours may later support a building occupied seven days a week. The maintenance plan should be reviewed against that new pattern, rather than retaining the old diary entry without assessment.
A current fault should be reported when booking. Servicing and diagnosis are different scopes, even when arranged during the same attendance. Provide fault messages, timing and the effect on service so the investigation can be planned.
Define what the visit includes
The service task list should follow the appliance instructions. It can involve inspection, cleaning, component checks and operating tests appropriate to that boiler. The record should identify work completed, relevant readings, defects and the equipment's operating status.
Check the boundary around associated equipment. Pumps, controls, pressurisation equipment and distribution components may need separate tasks. A boiler service does not automatically maintain the whole heating installation.
Where another safety check or document is required, name it explicitly in the instruction. A service record should not be treated as proof that a different inspection requirement has been completed.
Plan access and follow-on work
Agree the shutdown, users affected and the contact authorised to approve repairs. Multi-boiler plant may allow staged work, but safe isolation and remaining capacity need checking before that arrangement is assumed.
Keep the service report with the asset history. Transfer defects into an action list with an owner and next step. The service date and any outstanding repair are separate records: a completed visit does not close an unresolved defect.
