A clear job brief starts with the property, the problem and the result you want. Use the property job checklist to gather the information already available, prepare access and compare proposed work, then keep the agreed scope and completion record together for future reference.

The Property job checklist PDF is a two-page worksheet for printing and completing by hand. The plain-text property checklist provides the same prompts in a format you can copy into a document or email. Both are version 1.0 and cover preparation, the work decision and the record to keep afterwards.

Describe what you can observe

Give the full address and identify the room, outside area or item affected. Explain what changed, when you noticed it and whether it happens all the time or only in particular conditions. You do not need to diagnose the cause before making an enquiry. A description of where water appears, for example, is more useful than assuming which part of the building must be replaced.

  • Add photographs only where they can be taken from a safe position.
  • Include earlier reports, repair details or the relevant equipment information if you already have them.
  • Explain the effect on use of the property and the result you are seeking.
  • Flag anything you cannot establish so it can be considered in the next step.

Make access and decisions clear

Identify the person who can arrange entry and the person who can approve the work. They may be different people where an owner, tenant or managing agent is involved. Note shared areas, working-hour restrictions and any existing permission information. Explain how access will be arranged without writing access secrets into the checklist.

Do not delay urgent reporting to finish the document. Immediate danger needs the relevant emergency route. The worksheet asks for information you can obtain safely; it is not an instruction to climb, open equipment or inspect an affected area yourself.

Use it when comparing a proposal

Check that the proposal addresses the same area and intended result as your brief. Ask what preparation, materials, removal, making good and completion checks are included where relevant. Identify exclusions and the decision required if investigation reveals additional work. A short description and a price do not always define the same job.

The checklist does not accept a quotation or authorise extra work. Keep the agreed scope and any later changes with the job record. When work finishes, note what was completed, the information received and anything still requiring a decision or return visit.

Guidance to use with your checklist
